Description

Hallsville School District, a four-day workweek calendar, is accepting applications for the position of Attendance and Counseling Secretary for the 2026-2027 school year. This is a full-time 9-month position with benefits.

 

Job Responsibilities:

  • Assist administration and counselors with master and student schedules.
  • Assist the registrar during peak enrollment times
  • Facilitate schedule changes for transitioning freshman
  • Send transcripts for current students and graduates to colleges, NCAA, and NAIA for eligibility
  • Reconcile and close daily attendance for all buildings and summer school 
  • Enter data for credit completion
  • Communicates with patrons and students by telephone, email, and written correspondence
  • Tracks attendance for the school district and updates our student information system
  • Assists in tracking our home school children for special calendar and homeschool forms
  • Gather all data for the 180-day Graduation follow-up and assist the student information coordinator with information regarding Core data 
  • Manager and input grade submissions, transcripts, grades, assessments, constitution tests, CPR, and A+ for new and withdrawn students
  • Maintain the Guidance Calendar and update the guidance blog on Weebly with new scholarship information weekly
  • Order supplies as needed 
  • Email Junior and Senior students' information as requested to different branches of the Military and the House of Representatives
  • Assist with Dual Credit collection and DESE dropout reporting
  • Send attendance letters to parents weekly regarding attendance issues, and do any follow-up communication 
  • Set up, organize, and coordinate attendance appeals
  • Communicates student graduation information to local newspapers 
  • Assists with creating programs, student handbooks, and other forms of written communication 
  • Print Transcript stickers for students' Perm file and maintain all student record processes
  • Assist with gathering information for the attendance audit
  • Send final transcripts for graduating seniors to their college of choice
  • Support the implementation of PBIS strategies to promote positive behavior and a safe, respectful learning environment for students

 

PHYSICAL DEMANDS: While performing the duties of this job, the employee must regularly sit, talk, listen, and respond. The employee is frequently required to stand and walk. The employee is occasionally required to stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, precise hand-eye coordination, and the ability to identify and distinguish colors. Occasionally, the employee may lift up to 50 pounds, such as lifting files, papers, and equipment. QUALIFICATIONS: Qualified applicants will need to have 60 college credit hours, be able to complete the Praxis test, or have a teacher or substitute certification.

Language:  Read, comprehend, and produce written and oral instructions, correspondence, and memos; Communicate one-on-one and in small groups. These are essential functions of the job.

 

Computation:  Add, subtract, multiply, and divide using units of American money, weight, volume, and distance. These are essential functions of the job.
